POLICIES AND PROCEDURES
CHECK-IN/CHECK-OUT
Guest check-in time is 3:00 p.m. If rooms are requested prior to check-in time, early arrivals will be accommodated only when rooms become available. Guests must be at least twenty one (21) years of age or be accompanied by someone at least twenty one (21) years of age to check-in.
Check-out time is 11:00 a.m. Laundry may be removed from room before 11:00 a.m.
ADDITIONAL PERSON CHARGE
A charge of $30.00 will be added for each guest over double occupancy (regardless of age) with a maximum of four (4) guests per room.
PET POLICY
Non-Refundable charge of $75.00. Additional fees maybe required. If pets are on property without owners consent, guest may forfeit their stay and be requested to leave property without refund.
SUITE POLICIES
Maintaining the integrity of suite furniture arrangement is vital. Furniture, fixtures, artwork, etc. may not be moved or removed. Additional furnishings, including folding tables, may not be added to suites.
Please note exhibits and displays are not permitted on guest room floors or in the suites, and signage is not permitted in the corridors, or on doors. Furthermore, taping or affixing of any materials to walls, floors or ceilings is not permitted. Please contact Ranch manager for special arrangements.
Outside catering must be coordinated with Ranch manager.
Continental breakfast offered 7:00 a.m. to 9:30 a.m.
TRADEMARK
Neither party is authorized to use any trademark, trade name, nor service mark owned or registered by the other party, its parent, subsidiaries or affiliates. Neither party may, without prior written approval of the other party, copy, reproduce, distribute or use any trade name, trademark, copyrighted material, or service mark of the other party, its parent, subsidiaries, or affiliates.
DAMAGE TO PROPERTY
Customers shall be liable for any damage, normal wear and tear excluded, to the Function Space, or to any other real or personal property of the Ranch, caused by the act or omission of customers, its agents, directors, shareholders, employees, members, attendees, contractors, volunteers, or performers. Customers will not, and shall not permit others to, drive nails, tacks, hooks, screws, or other items into any part of the Function Space or Ranch equipment or property. Customers shall return the Function Space to Ranch in as good of condition and repair as the same shall have been found when licensed for Customer’s use. Fee’s will be charged if property is left in a disorderly manner
Do not flush diapers, feminine products, paper towels, etc. Please dispose of trash in provided receptacles.
LOST OR STOLEN PROPERTY
Retreat shall not be responsible for losses by customers, its agents, directors, shareholders, employees, members, attendees, contractors, volunteers, performers or any other party due to theft, damage to, or disappearance of equipment or other personal property, it being specifically acknowledged that such equipment and property is not under the care, custody, or control of Ranch.
CATERING POLICIES & PROCEDURES
Handled in a case by case basis.
SECURITY
Ranch does not assume liability for any items left unattended in function area. Ranch may require security officers for certain events. In order to maintain adequate security measures, Group may be required to hire Ranch security personnel as determined by the Ranch Director of Security.
SMOKING POLICY
Smoking is not permitted in any part of the Ranch function area. A designated smoking area is available outside of the function area. Smoking in appropriate containers distinguished. Due to fire hazard, do not flick butts on ground.
ACCESS AND RIGHT TO ENTER
Representatives of Ranch may enter upon and have access to the Function Space at any time. Additionally, officers and authorized employees if governmental agencies may enter the Functional Space at reasonable times, when necessary, in the performance of their official duties.
ACTIVITIES
Relax and enjoy the serene environment of Texas wildflowers, deer gazing, eagles flying and nature’s beauty , while walking alongside the lakes or sitting on a bench. Please also enjoy fishing with catch and release strongly in effect.
General Cancellation Policy
Must cancel 2 weeks prior for no charge. Cancellation within 2 weeks of reservation will be charged the full amount as well as receive a certificate for that amount for a future stay (exception Antique Show). Guests who choose to shorten their stay while in residence are still subject to the cancellation policy and are responsible for the full balance due on their reservation.
Round Top Antique Fair Bookings
Check-In: Noon
Check-Out: 11:00 am
Reservations are different for stays within the Round Top Antique Fair time period. Reservations are confirmed with a credit card on file and a deposit equal to 50% of the entire stay is required upon booking. All major credit cards are accepted. Credit cards on file are charged the remaining balance on February 1st (for the Spring Antique Fair) and on August 1st (for the Fall Antique Fair). Hotel tax is 6%.
Cancellation Policy
Spring Antique Fair:
- Deposit may be refunded prior to February 1st, less a $35 fee.
- Deposit may also be forwarded to a future booking for no fee.
- After February 1st, no refunds will be given however you will receive a certificate for a future stay (exception future Antique Fairs).
Fall Antique Fair:
- Deposit may be refunded prior to August 1st, less a $35 fee.
- Deposit may also be forwarded to a future booking for no fee.
